Bookkeeping Module Function, Fit and Suggestions for Use
1) BOOKKEEPING MODULE SCOPE - The term "Bookkeeping" is broad. It is confusing for those not familiar with the trade. For us, the purposes of this website, and the Google Sheet Template (aka Module) documented here, "Bookkeeping" refers to the act of recording and categorizing transactions that have previously posted with your bank for purposes of reporting for Tax / Financial Accounting.
Tax/Financial Accounting is done for others. Managerial/Cost Accounting is done for self.
The difference between Tax and Managerial Accounting in this limited context of categorizing transactions is just the list of categories you choose from for Income and Expense categorization purposes.
Categorize your translations for the Tax Man first. If that does not give you enough resolution, Run a second copy of this bookkeeping module in parallel with the first. Cut and paste downloaded transactions from your Tax Accounting to your Cost Accounting version in a matter of seconds and use different categories for further insight. We could easily have added a second categorization column in this solution and allowed you to pick which set of categories you wanted to see in reporting. That simply over complicates an otherwise extremely simple system. You can modify the file for that if you'd like but we suggest running two in parallel if that type of resolution is desired.
With this limited scope it is clear we are not talking about the details of Point of Sale or Invoicing systems, Time and Attendance Systems, Payroll Systems or other advanced Managerial or Tax Accounting systems. This is a very specific process limited in scope. We offer other modules for those other parts of the "broader definition of bookkeeping".
2) ONE SIZE FITS ALL - We offer one Bookkeeping Module at this time for all Small Business and Personal needs.
This is a full Bookkeeping Solution for Small Business. It contains a Chart of Accounts, Journals for Assets and liabilities, a General Journal, a General Ledger (automatically created from Journals), an Income Statement, a Balance Sheet, Data Integrity tools and other reporting tools. It also has advance features like a Budgeting tool and a Transaction Generator for Life simulation.
This has been thoroughly tested by folks who incur 20 to 200 transactions a month in their business process. It works great for those needs.
It should scale far beyond those but that's as far as it's been tested thus far. There is a transaction Generator Built in so if someone wanted to simulate a lot more transactions that could be done in a matter of minutes.
From a business perspective, this module was designed first and foremost for use in Bookkeeping for Tax Accounting but all that means is that your Chart of Accounts is chosen to Align with your Tax Forms. That's all...
3) KEY SUGGESTIONS FOR USE - Embrace these. Please.
We suggest bookkeeping in arrears, with manual download sets from your banking institutions.
We suggest a Chart of Accounts that aligns with your relevant Tax Forms.
We suggest this template/module not be connected in an automated fashion to any other accounting templates, modules or payment systems.
We suggest you use one of our other templates for tracking outstanding checks and cash flow management needs. Those should not be mixed with this type of Bookkeeping. The problem is related to the dates on transactions as it relates to statement and Balance Sheet reconciliation.
We suggest you always use two or more monitors when dealing with the Business that is your business along with an external mouse. Trackpads are great for convenience, but when it comes to Accounting in Spreadsheets, an external mouse speeds things up and it keeps your attention on your work and not track-pad yoga.
